Since its establishment in 2009, TIPMed has experienced significant growth, expanding from 5 people to 50 employees across three offices in the US, becoming a reliable business partner for professionals in the life sciences industry.
Finding the right tool
After struggling to track time with Excel sheets, Leighe Weifert, the Vice President of Product Development and Operations, decided to introduce Timeneye to her team of 20 in their Bedminster office. Since the introduction of Timeneye, the team has transformed how they monitor project hours, ensuring that every task remains both profitable and efficient.
"Before we developed our own app, we provided custom development for clients, which required us to track time for their projects since they were billed by the hour," Leighe recalled. "We tried several different time-tracking tools, but when we tested Timeneye, we were convinced by its simplicity and how well it fits into our workflow. We never looked back!" she said with a smile.
“We experienced several periods of growth, expanding from 5 employees to 20, and then to 50. Over the years, we experimented with various methods to track our time. We began using Excel sheets, but as that became unsustainable, we transitioned to more sophisticated project management tools. However, Timeneye has been a game changer for us because it is very user-friendly, making it a consistent presence throughout the years,” Leighe explained when asked about the Timeneye adoption.
Keeping track of billable and non-billable hours
Optimizing team utilization has been ingrained in the culture of TIPMed from the very beginning. This strategy is crucial for their business, as the majority of their projects are billed on a fixed-fee basis.
“Our employees primarily use Timeneye to track their billable time, whether it's for client meetings or actual project work” Leighe notes. “However, we also use it to monitor non-billable activities, such as internal projects, team meetings, and administrative tasks. In fact, we even use Timeneye to record our paid time off (PTO).”
For any successful business, maintaining precise time records is essential for the finance department to create precise invoices for clients. Leighe explains this process: “Timeneye has streamlined our invoicing process. I can effortlessly check and review the time logs for my entire team, make necessary adjustments, and then export the hours to the finance department, ensuring that the invoices we send to our clients are accurate.”
“We thought it would be difficult to convince people to track their hours consistently” she candidly admitted. “However, our team loved how easy it was for them to start a timer during a meeting or while working on a task. They found it simple to locate the right project or category within the Timeneye platform. Many of them use the Timeneye Chrome widget because they find it quick and user-friendly. The overall ease of use helps people stay consistent with time tracking. It’s no longer a burden, and it quickly became second nature for them” she concludes.
In particular, there is one recent feature that the team at TIPMed really likes: “Everybody loves the reminder that alerts people when a fixed-fee project is nearing its total budget. This helps ensure that they do not exceed the allotted budget while working on the project” Leighe wants to add.
Turning time into actionable insights
In addition to streamlining the invoicing process, Timeneye serves another important role—providing actionable insights.
“I have created two report templates that I use regularly. The first is a weekly report for each project to monitor whether there are any overtime hours. The second is a biweekly report on our staff to assess their capacity and determine if we need to adjust anyone’s workload” Leighe shares. “Additionally, at the end of each month, I run a report to analyze both projects and employees to see if we have met our targets. This helps us with future resource planning and ensures that we are not overloading our team.”
But Leighe doesn’t stop there. She is determined to dive deeper into the company's data to extract valuable insights. "At the end of the year, I will compile the hours for all the projects and analyze the data to identify any emerging trends, such as the duration of each project and how our hours are allocated within them. These reports are essential for evaluating our processes and pricing" she admits.
Timeneye has assisted TIPMed in finding and maintaining the right balance between internal costs and billable rates across all their projects, propelling the company toward success.
